The Evolving Landscape of Event Staffing: Insights from Industry Experts By Lauren Raimondi

The event staffing and experiential marketing industry has seen a dynamic transformation in recent years, shaped by technological advancements, evolving client needs, and regional differences. Recently, I had the pleasure of discussing these changes with event staffing expert Tristan Drysdale during our livestream chat, “The State of Event Staffing.” Below are some key highlights from our conversation, which you can dive into further by watching the full video.

1. Greater Demand for Flexibility

The modern event landscape requires flexibility like never before. Event needs are increasingly fluid, with last-minute changes and unexpected demands becoming the norm. Whether it’s adjusting staffing levels, accommodating new client goals, or pivoting to different event formats, both staff and agencies must be ready to adapt quickly. Having a flexible mindset, especially among brand ambassadors, is now a crucial component of successful event execution.

2. Technology Integration in Event Staffing

Technology plays an expanding role in the event industry. From talent project management tools to mobile apps with geo-checkins, technology is allowing us to scale and manage programs more efficiently than ever. Brand ambassadors also need to be more tech-savvy to navigate and demonstrate different technologies on site for brand activations and conferences.  This shift underscores the importance of training and hiring staff equipped for today’s high-tech event demands. But it should never come at the cost of building personal relationships.

3. Differences Between the U.S. and Canada

The conversation also highlighted key differences between the U.S. and Canadian event industries. Labor laws, event restrictions, and client expectations vary significantly between the two countries. For instance, the U.S. saw a quicker return to in-person events after Covid restrictions eased, while Canada adopted a more cautious, gradual approach. These differences impact everything from staffing needs to the scale and type of events being held.

At All Aces, we stay ahead of these trends to ensure your event’s success. From providing skilled, adaptable personnel to handling last-minute staffing needs, specialized roles, and efficient payroll services, we’re here to meet the evolving demands of experiential marketing and conferences.
